2. What data we collect

2.1 Contact form

When you submit an enquiry through our contact form, we collect:

  • Name
  • Email address
  • Phone number (if provided)
  • Company name (if provided)
  • Any other information you choose to include in your message

Our contact form is a HubSpot form; submissions are sent directly to our HubSpot CRM (see 2.2 below).

2.2 CRM (HubSpot)

We use HubSpot as our customer relationship management (CRM) system. Contact form submissions, and details of your interactions with us (such as email opens, meeting bookings, and enquiry history), are stored in HubSpot.

HubSpot acts as a data processor on our behalf. HubSpot’s own privacy policy is available at legal.hubspot.com/privacy-policy.

2.3 Website analytics

We use Google Analytics and HubSpot Analytics to understand how visitors use our website. This may include:

  • Pages visited and time spent on the site
  • Approximate location (derived from IP address)
  • Device and browser type
  • Referral source (e.g. search engine, social media)

This data is aggregated and used to improve the website; it is not used to identify you personally except where linked to a form submission (see 2.4 below).

2.4 Cookies and tracking technologies

Our website uses cookies, including:

  • Google Analytics cookies — used to measure site usage and traffic
  • HubSpot tracking cookies (marketing/CRM) — used to recognise returning visitors, link site activity to CRM contact records, and measure email/marketing engagement

Data is not transferred outside the UK/EEA

5. How long we keep your data

We retain personal data only for as long as necessary for the purpose it was collected for. As a general position:

  • Accounting and tax-related records are kept for 6 years, in line with HMRC record-keeping requirements
  • Other enquiry and CRM data is kept for as long as you remain a prospect or client, and for a reasonable period afterwards

Analytics data is typically retained in aggregated/anonymised form or for a fixed rolling period set by the analytics provider.

6. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to or restrict certain processing
  • Request a copy of your data in a portable format
  • Withdraw consent at any time, where processing is based on consent
  • Complain to the Information Commissioner’s Office (ICO) at ico.org.uk

This website is not directed at children, and we do not knowingly collect data from children.
